Registration

The registration to the conference for active participants presenting a paper is done via our instance of the Indico conference submission system. Registration links are provided on the conference website. For each paper, at least one author must attend and pay the registration fee. One participant can present maximum 2 papers. Registration is required for all participants attending the conference.

Registration fee

The conference fee differs between the full registration fee and the reduced registration fee for students (BS, Master and PhD). The detailed fee amounts are presented on the conference website.

Both conference participation fees shall cover the costs of rentals for the conference facilities, coffee breaks and lunches during the conference works from Monday, June 29th to Friday, July 3rd 2026 (5 days), and the Conference Banquet on July 2nd 2026.

The full registration fee shall allow to a participant to present maximum 2 papers (oral or poster)
For students (BS, Master and PhD), the reduced registration fee shall give the possibility to present 1 single paper (oral or poster).

Payment

All participants of the conference must pay a registration fee prior to the arrival at the conference venue. The payment of the registration fee must be made in full according to deadlines announced on the conference website. Two types of registration deadline are available for participants: early registration deadline and standard registration deadline.

The current payment method for the conference fee is bank transfer. Payment details are presented in detail after completing the registration form.

Cancellation Policy

Requests for registration cancellation must be addressed in writing to the ECOS Secretariat, sent by email to insae@univ-ovidius.ro

  1. If a registrant is unable to attend an event for any reason, he/she may substitute, after agreement with the organizer, someone else from the same organization. Changes to your original registration should be sent in writing to the conference secretariat at: insae@univ-ovidius.ro
  2. In the event that a registrant cannot attend and is unable to be replaced by another person from the same organization, the following refund provisions apply:
    • Registrations cancelled before May 31st will be refunded 100% of the registration fee.
    • Registrations cancelled between June 1st and June 20th will be refunded 50% of the registration fee.
    • Registrations cancelled after June 21st will not be refunded.

Refund policy:

  • For all payments, a bank transfer will be made to the beneficiary of the account.

Modification of the Programme

The organizer reserves the right to make alterations to the programme, date and/or venue at any time without prior notice.

Acceptance Letter

Individuals requiring an official Acceptance Letter can request one from the Organization Board. To receive an Acceptance Letter, the conference participant must first register to the conference and submit a full paper. The Acceptance Letter does not financially obligate the conference organizer in any way. All expenses incurred in relation to the conference are the sole responsibility of individuals.

Visa Requirements

The conference organizers are not responsible for no granting a visa to a conference participant. It is the sole responsibility of the conference participant to take care of their visa requirements. The participants who require an entry visa must allow sufficient time for the application procedure. The conference organizer will not directly contact embassies and consulates on behalf of visa applicants. The conference organizer is not responsible for a visa granting to a conference participant, therefore, the cancellation policy will be applied in case of no granting a visa.

Accommodation and travel

Accommodation and travel cost are not included in the conference registration fee and participants are responsible for booking their accommodation and travel.
